1. Booking a Trip
The term "Trip" refers to any product, itinerary, or activity described on this website that you book or purchase with us. This includes trekking, walking, hiking, climbing, sightseeing, mountaineering, tours, expeditions, and other adventure tour programs.
Trip Confirmation:
Booking confirmation is acknowledged via email/what’s App and is the fastest way to validate your trip as accepted by the company.
Upon confirmation, your trip is considered definite.
2. Contract Formation
A contract is considered established once Best Heritage Tour accepts the reservation details, marking the formal agreement between the company and the client. This contract signifies the mutual commitment of both parties to the terms outlined. Prior to booking confirmation, the company retains the right to modify the listed brochure prices, whether by increasing or decreasing them.
To ensure clarity, please note the following:
- The company is not liable for any implied warranties or guarantees outside of what is expressly stated in the contract.
- Any prior or collateral agreements, as well as descriptions of services or conditions not explicitly outlined in the contract, are disclaimed.

3. Deposit Requirements
Nepal Trips
Deposit for Confirmation:
- A non-refundable 10% deposit of the total trip cost is required to confirm your booking.
- This payment must be made within two weeks of inquiry.
- The deposit is essential for arranging hotel reservations, flight tickets, transportation, permits, TIMS cards, etc.

Final Payment:
- The remaining 90% of the trip cost is payable upon arrival in Nepal.

6. Cancellation & Refund Policy
A. Company Cancellation
Trip Delays or Rescheduling: In rare cases, trips may be delayed or rescheduled due to unforeseen circumstances (e.g., political, cultural, or social events). Clients can reschedule or exchange to a similar trip based on availability.
Reimbursement: If a trip is cancelled due to factors such as political, cultural, or economic issues, local government restrictions may prevent the trip from proceeding. In these cases, clients can:

B. Client-Initiated Trip Cancellation
Refund Eligibility: If you have paid in full for a trip, you may be eligible for a refund based on the cancellation timing.
Cancellation Procedure: A written notification must be submitted to the company, including the cancellation date. The company reserves the right to apply cancellation charges, based on the percentage of the trip cost.

7. Trip Cancellation by Company
The company reserves the right to cancel any booked trips for justified reasons, particularly when circumstances beyond its control occur. These reasons may include, but are not limited to, natural disasters, flight cancellations, strikes, wars, sickness, quarantine, government interventions, weather conditions, or other unforeseen events that could jeopardize client safety.
In the event of a trip cancellation by the company, Best Heritage Tour will refund 50% of the trip booking price. This refund reflects the payments made by the company to third parties for transportation, accommodation, and other related fees.
Important Notes:
Significant changes or alterations to the trip (such as changes in airline carriers, flight schedules, or itineraries) are not considered modifications if departure and arrival dates remain unchanged.
Changes to cabin categories or hotel accommodations are allowed, as long as they remain within the same category.
The company is not liable for any additional expenses, losses, or consequences resulting from factors such as visa issues, vaccinations, non-refundable flights or tickets, parking fees, or loss of earnings that may arise due to the cancellation or changes in trip bookings.
8. Trip Modification, Flight Delays & Itinerary Changes Policy
A. Trip Modification Policy
Trip modifications may be necessary due to unavoidable circumstances during the trip, such as weather conditions, landslides, or other disruptions beyond the company's control. In such cases, the company will provide prompt advice to clients.
If a client wishes to modify their trip for personal reasons, the request must be submitted in writing. The company will then assess the situation and decide whether the necessary changes can be made.
Modification Fees:
Requests made 30 days or more before the original trip departure: US $50.00 per person.
Requests made less than 30 days before the trip departure: Charges will be the same as the cancellation fees, as third-party providers (hotels, guest houses, group operators, and airlines) have already been paid in advance.
The company will do its best to accommodate changes, but availability and the terms of third-party service providers may apply.
B. Flight Delays and Changes in the Itinerary
Mountain adventures are inherently unpredictable, with weather conditions in mountainous regions often causing domestic flight delays. As a result, clients should be prepared for potential delays and changes to their travel plans.
Key Points:
Flight Delays: If there are delays during either the departure (starting of the trip) or return (ending of the trip), the client is responsible for all additional costs, including food and accommodation.
Alternative Arrangements: If you choose to make alternative arrangements, such as a helicopter flight to bypass delays, the additional costs will be your responsibility.
Missed International Flights: Best Heritage Tour is not responsible for costs incurred due to a missed international flight but will assist in making alternative arrangements wherever possible.
Itinerary Changes: While on the trip, it may be necessary to make changes to the itinerary due to unforeseen circumstances beyond the company's control. However, we will strive to adhere to the original itinerary as much as possible.
Please note that while Best Heritage Tour will work to minimize disruptions, external factors such as weather can cause delays and changes that are beyond our control.
9. Medical Disclosure and Travel Requirements
Clients must notify BHT in writing of any medical conditions, whether mental or physical, that may affect their ability to participate in the trip at the time of booking. Failure to disclose such conditions may result in refusal to travel, and no refunds will be given.

10. Travel Insurance
Traveling to remote areas in the Himalayas carries inherent risks, such as bad weather, landslides, or floods, which may lead to serious injury or death. While the company will take precautions to minimize these risks, accidents, although rare, can still happen. Therefore, travel insurance is mandatory.
Travel insurance is required for all trips in the Himalayas, covering the full trip duration.
The insurance must cover accidents, injury, medical expenses (including pre-existing conditions), emergency evacuation (including helicopter rescue), and personal liability.
The company recommends additional coverage for trip cancellation, curtailment, and loss of luggage or personal belongings.
Clients must carry proof of insurance and provide it when requested.
Failure to provide proof of insurance may result in cancellation or suspension of participation in the trip or activities, with no refund provided.
11. Paperwork & Documents
It is essential to ensure that all necessary documents are in order before your trip. You will need to carry these documents with you and present them when requested by the company. Additionally, scanned copies of certain documents may be required for booking flights or accommodations. Failure to complete any required formalities due to missing documentation may affect your trip.

The company is not responsible for any trip formalities not completed in time due to missing or incomplete documentation.
12. Visa and Passport
Ensuring you have a valid passport and the appropriate visas is critical for a smooth trip. The responsibility for obtaining these documents lies with you. Please make sure your passport is valid for at least six months beyond the trip’s duration. The company is not responsible for any issues related to entry refusal due to incorrect or missing visa documentation.

All travellers under the age of sixteen must be accompanied by a legal guardian. Additional information regarding age requirements and suitability will be provided in email correspondence.
14. Missed or Unused Services
No discounts or refunds will be provided for missed or unused services, including voluntary or involuntary termination of the tour (e.g., sickness, death of a family member), late arrival, or premature departure from the tour.
15. Holiday Adjustments & Extra Fees
Traveling with Best Heritage Tour requires flexibility, as changes to transport, accommodation, or itineraries may occur due to factors like flight delays, cancellations, weather conditions, landslides, road blockages, political unrest, or other unforeseen circumstances. In such cases, the company cannot offer refunds due to prior supplier arrangements but will provide alternative or substitute trips of the same category.
Additionally, all holiday packages, rooms, and tents are based on twin-sharing accommodation. A single room supplement charge will apply if a client does not have a companion to share accommodation. Best Heritage Tour is not responsible for any loss of employment, delays, or compensation related to such changes.
16. Health & Fitness
As you know, trekking in the remote parts of the Himalayas requires a certain level of physical fitness, so it is recommended to consult with a doctor before deciding to travel to Nepal. You should notify your current health conditions of any pre-existing medical condition and/or disability that might reasonably be expected to increase the risk of required medical attention that may affect your ability to travel to us.
17. Discount Provision
Best Heritage Tour offers time-limited discounts during holidays and off-seasons on specific products. To benefit from these offers, bookings must be made within the specified period; they are not applicable outside this timeframe.
A. Groups
Groups of 6 or more receive a 10% discount per person on the brochure price. Discounts do not apply to smaller groups or individual bookings.
B. School/College Groups
Students (in school or college) volunteering in remote Nepali communities can enjoy discounted rates. These special rates are offered during booking to support community welfare.
C. Business-to-Business
Special rates are available for international agencies partnering with Best Heritage Tour for trips to Nepal.
18. Risk & Responsibility
Your safety and enjoyment are our highest priority. We are committed to providing professional services and ensuring a smooth, hassle-free experience throughout the trip. However, certain unforeseen events may cause changes in the itinerary, and clients must bear the additional costs.

20. Impact on your trip
We will do our best to make your trip comfortable, stimulating and exciting. However, unlike wealthy Western countries, Himalayan countries do not offer all the comforts you are accustomed to. We would like to bring this to your attention.
21. Luggage Safety and Liability
During the trip, our crew will do their best to keep your luggage safe. However, we will not be held responsible for any loss or damage to your property during transportation by porters, ponies or vehicles. We recommend that you take out comprehensive insurance to protect against such risks.
22. Dispute Resolution
In case of any dispute, the dispute will be resolved in the courts situated in Kathmandu, Bagmati Zone in accordance with the laws of Nepal.
23. Compensation
If we are required to pay any damages, our damages will be limited to the amount you have paid to us.
24. Enforcement of Terms and Conditions
If any provision of these terms of use is inconsistent with local law and therefore unenforceable, then only those provisions will be void. The remaining provisions will remain in force.
25. Your Photo, Our Story
Best Heritage Tours may use images taken by you during your trip without notice, recourse or compensation. These images may be used for advertising and promotional purposes. You agree to give us this permission. However, if you specifically request that your image not be used for advertising or promotional purposes, we will comply with your request.

To obtain the necessary information from you when booking, we will ask you a few questions. Any personal information provided during booking will not be used for any other purpose.
